GUIDELINES - Arrangement of Winter Meeting

 

Site Selection of Mid-Winter Meeting:

  1. Site proposals must be submitted in writing to the Board of Directors by June 1.
  2. Board of Directors will review proposals and make final recommendations to the membership.
  3. Site selection will be made two years in advance.

 

Mid-Winter Meeting:

  1. A registration fee may be set by the Board of Directors to defray cost.
  2. An annual contribution has been provided by the NASSP/NASC.
  3. The Board of Directors determines program schedule.

 

Guidelines for Arrangements
NASSCED Mid-Winter Meeting (revised):

  1. Secure a hotel package for two nights of the selected meeting dates with an available back-up hotel. The dates are usually the first Thursday and Friday in December. The hotel should be located in easy access to dining and shopping facilities. HOST SHOULD NOT SIGN A HOTEL CONTRACT UNTIL THE NASSCED BOARD PRESIDENT OR TREASURER HAS SIGNED OFF ON ARRANGEMENTS WITH THE HOTEL.
  2. Arrange with the hotel for early arrival of the Board of Directors. This will be the board members who typically arrive on a day prior to Day 1 (traditionally Wednesday), although some may wish to arrive even earlier (Tuesday). This group will take care of itself in terms of the expense and arrangements for its own meals. However, your assistance in recommending a dining area convenient to the hotel is appreciated.
  3. Arrange with the hotel for a meeting room from 9:00 a.m. until 5:00 p.m. to accommodate the members of the Board of Directors for the day prior to the NASSCED Membership Meeting (traditionally Wednesday).
  4. Arrange with the hotel for a registration area (may be optional) with two tables (eight feet) and four chairs for the morning of Day 1 (8:00 a.m. – noon). If possible, place the registration area near the large group meeting room. The Board of Directors will handle all registration of NASSCED members. Name badges and packet information is also provided by Board members. Break-out rooms are traditionally not necessary.
  5. Arrange for a meeting area for all the members of NASSCED on Day 1 beginning at 8:00 a.m. and concluding at 5:00 p.m. The space needed will be for 70-80 people (10-12 round tables). This room should lend itself to ice-breaker activities as well as a speaker (microphone and podium needed). The host may be asked to provide special AV equipment as needed by presenters.
  6. Locate an enjoyable place for dinner on the evening of Day 1 for the entire group (approximately 70-80) for 7:30 p.m. At this dinner the Board President should be afforded a few minutes for remarks.
  7. Arrange with the hotel for a meeting room for Day 2 beginning at 8:00 a.m. and ending at 5:00 p.m. Traditionally, break-out rooms are not needed.
  8. Arrange with the hotel for a luncheon at 11:30 a.m. on the morning of Day 2. Arrange for two coffee/soda breaks, one each day.
  9. Revenue for the mid-winter meeting is based upon registration and the NASC contribution.
  10. Cost for airport shuttles, taxis, or other transportation from the airport to the hotel should be provided for information as part of the bid.

 

Arrangements for NAWD

  1. Secure a hotel package for the evening of Day 2 (Friday) to Day 4 (Sunday) following the conclusion of NASSCED’s meeting.
  2. Arrange for meeting rooms with the hotel as instructed by Earl Reum and/or the Executive Director of NAWD. A registration area, tables and chairs will be needed for afternoon and evening registration. A large meeting room and break-out rooms will be needed for Day 3 (Saturday). A large meeting room will be needed for Day 4 (Sunday).
  3. Arrangements for meals and additional special events are to be determined by the NAWD Executive Director and arranged through the host.
  4. HOST SHOULD NOT SIGN A HOTEL CONTRACT UNTIL THE NAWD EXECUTIVE DIRECTOR HAS SIGNED OFF ON ARRANGEMENTS WITH THE HOTEL.
